Administrator/Operations/Executive Assistant

Location: Lincoln with the possibility for remote working

WearIt.co.uk and GoodHeartsClub.co.uk: both e-commerce brands specialising in fashion, Good Hearts Club is an up-and-coming stand-alone brand working in the influencer space. Wear It UK focuses on the customised merchandise and workwear arena, offering a wide range of products designed to meet the unique branding needs of our clients. We currently work with a number of significant TikTok Stars. In each we are committed to innovation, creativity, and delivering excellence across our diverse portfolio.

Role Overview:
We are seeking a highly organised, proactive, and experienced administrator to support the business. The ideal candidate will possess exceptional administrative, communication, and problem-solving skills and be able to handle sensitive information with discretion. This role requires someone who is adaptable, able to anticipate needs and thrives in a fast-paced environment.

Key Responsibilities:

Administrative Duties:

  • Answering customer service emails and messages.
  • Managing & daily checks of multiple email accounts
  • Maintain and update confidential files, records, and databases.
  • Handle ad hoc administrative tasks as required to ensure the smooth running of the office.
  • Basic stock management and stock ordering.
  • Managing a content calendar & ensuring our creators and team understand their roles within this.

Executive Support:

  • Prioritise and manage the executive’s communications, including emails, phone calls, LinkedIn, and correspondence, ensuring timely responses and taking action on urgent matters.
  • Prepare documents, reports, presentations, and briefs for meetings and events.
  • Maintaining the Managing director’s email inbox & ensuring documents, meetings and calls are passed on.

Systems and Processes:

  • Help design and implement systems and processes for a growing business.
  • Create new ways of organizing customer service tasks and other areas of email management. 

Required Skills and Qualifications:

  • Proven experience as an administrator or Executive Assistant or in a similar role.
  • Exceptional organisational and time management skills, with the ability to manage multiple tasks and deadlines efficiently.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality when handling sensitive information.
  • Proactive, self-motivated, and able to work both independently and as part of a team.
  • Excellent attention to detail and problem-solving abilities.

Desirable but not essential experience:

  • Experience in 
    • affiliate/digital marketing
    • eCommerce experience
  • Knowledge of financial administration and budgeting processes.
  • Does not mind being in content or helping film aspects of our process
